Ultimate Hold'em Timer (UHT) is a web-based poker tournament timer operated by BIGG Solutions under German law. We respect your privacy and comply with the EU General Data Protection Regulation (GDPR/DSGVO) in all data handling. We process data lawfully, fairly, and transparently, and only for specific, legitimate purposes. UHT does not require a user account — you may use the service fully anonymously. Optionally, you may create an account to unlock additional features. This Policy explains what information is processed when you use our website (ultimate-holdem-timer.com) and how it is used, stored, and protected.

The competent supervisory authority is the German Data Protection Authority (Bundesdatenschutzbeauftragter).

2. Data Collection

2.1 Anonymous Use (No Account)

If you use UHT without creating an account, you use the service anonymously. We do not require or collect names, email addresses, or other personal identifiers. Only basic technical metadata is collected:

  • IP address (to infer country only)
  • Browser type and version
  • Device and screen resolution
  • Pages and features used

This metadata is used solely to compile aggregated, anonymous usage statistics. It is not linked to any individual and does not constitute personal data under GDPR.

Local Storage: All tournament configurations, designs, and sounds you create without an account are stored exclusively in your browser's local storage. UHT has no access to this data.

2.2 Account Use

Creating an account is entirely optional. If you choose to create an account, UHT collects and stores:

  • Email address — used for account authentication and communication
  • Display name — the name you choose to identify yourself within the service

With an account, all content you create (tournament configurations, display designs, sounds, etc.) may be stored on UHT servers, subject to your account tier's storage limits (Free, Supporter, or Commercial).

2.3 Social Login

You may register and log in using your Google or Microsoft account. When you do, UHT only exchanges an authentication token with the provider to verify your identity. UHT does not share any additional information about you with the social login provider, and the provider does not receive your UHT activity data.

2.4 No Cookies, Ads, or Trackers

UHT does not use cookies, tracking scripts, third-party analytics, advertising, or social media widgets. The site contains no advertising and we do not embed any external tracker. You will not see cookie consent banners because we do not set cookies.

2.5 Optional Tournament Data Upload (Anonymous Users)

If you choose to share a tournament (without an account), the tournament data is transmitted to our server and stored under a shareable link. This data is automatically deleted after 24 hours and is not combined with any personal information.

3. Data Usage

3.1 Analytics and Service Improvement

The collected technical metadata is used only to generate aggregate usage statistics that help us understand how the service is used and improve UHT's features. These statistics are anonymous and do not allow us to identify you personally. We never use them for marketing or profiling.

3.2 Account Data

Your email address is used for account authentication, email verification, and service communications (e.g. password reset). Your display name is shown within the service. Your account data is not used for marketing or shared with third parties.

3.3 Uploaded Content

Tournament configurations, display designs, sounds, and other content you upload to UHT servers are used solely to provide the service features you requested (cloud storage, sharing, multi-monitor display). They are not analyzed, sold, or used for any other purpose.

3.4 Payment Processing

If you purchase a Supporter or Commercial license, the purchase is processed by Stripe, which acts as the Merchant of Record for the transaction. This means Stripe — not UHT/BIGG Solutions — is the official seller, handles billing, collects and remits applicable sales tax/VAT, and appears as the merchant on your payment statement and invoice. UHT receives only a confirmation of payment and account/order details (e.g. purchased tier, amount, status) and does not collect or store your credit card or full billing information. Stripe acts as the data controller for your payment details under its own privacy policies.

3.5 Communications and Support

If you contact our support email, we will use your email address and message only to communicate with you. We will not add you to any mailing list or share your message with anyone else. Automated service emails (e.g. email verification, password reset, account notifications) are delivered on our behalf via Lettr, our transactional email provider (see Section 5.4).

4. Data Storage and Retention

4.1 Without an Account

All data is stored locally in your browser. The data retention period is entirely determined by your browser and its settings. UHT has no access to this data and cannot control its retention. Shared tournament data (if used) is deleted from UHT servers within 24 hours.

4.2 With an Account

Data associated with your account (email, display name, uploaded content) is stored on UHT servers for as long as your account is active. The storage limits and available features depend on your account tier (Free, Supporter, or Commercial).

Account Deletion: You may delete your account at any time through your account settings. Deleting your account will permanently delete all personal data and content stored on UHT servers associated with your account. An exception applies to payment receipts and invoices, which UHT is legally required to archive.

4.3 Multi-Monitor Tournament Data

When you use the Multi-Monitor (MM) feature, your tournament is hosted temporarily on UHT servers. This data is retained only for the duration of the tournament plus 3 hours, after which it is automatically and permanently deleted. It is also deleted immediately when you manually disable MM.

4.4 Analytics Data

Anonymous usage statistics are stored only in aggregated form. Raw logs are regularly purged or overwritten so that no historical personal identifiers remain.

4.5 Security

We employ appropriate technical and organizational measures to protect data from unauthorized access, alteration, or loss. All data transmissions are encrypted (HTTPS). Access to our systems is restricted to authorized personnel.

5. Data Sharing

5.1 No Third-Party Transfers

UHT does not sell, rent, or trade any user data with advertisers or other third parties. We do not have affiliate or advertising partnerships. We only use the processors described below (Stripe for payments, Lettr for transactional emails) to operate the service, and we do not share your data with any other external parties.

5.2 Stripe (Merchant of Record)

Stripe acts as the Merchant of Record for Supporter and Commercial license purchases — Stripe is the official seller of record for these transactions, not UHT/BIGG Solutions. Stripe may receive your payment-related data as part of transaction processing. We do not provide Stripe with any personal information beyond what you directly enter in the payment checkout. UHT does not retrieve or store payment card data.

5.3 Social Login Providers

If you use Google or Microsoft to log in, UHT only exchanges an authentication token with the provider. No additional UHT account information or activity data is shared with these providers.

5.4 Lettr (Transactional Email Service)

UHT uses Lettr (operated by TOPOL.io s.r.o., Czech Republic — lettr.com/privacy-policy) to send transactional emails on our behalf, such as email verification, password reset, account creation confirmation, and account upgrade notifications. When we send you such an email, your email address and the relevant message content (e.g. a verification link or code) are transmitted to Lettr solely to deliver the email to you. Lettr processes this data as our processor, under our instructions and a data processing agreement, and does not use it for its own marketing or other purposes. Lettr is not used for newsletters, advertising, or any other unsolicited communication.

5.5 Legal Requirements

UHT will not disclose your data to law enforcement or other authorities unless required by law. In the unlikely event of a valid legal obligation (such as a court order), we would comply while disclosing the minimum necessary information.

6. Your Rights Under GDPR

Under the GDPR, as a data subject you have the following rights regarding personal data held by UHT:

  • Right of Access: You may request confirmation of what personal data we hold about you and obtain a copy of it.
  • Right of Rectification: If any of your personal data is incorrect or incomplete, you can request that we update or correct it.
  • Right to Erasure ("Right to be Forgotten"): You can ask us to delete any personal data we have about you. Account holders can delete their account and all associated data directly in account settings. Payment records required to be retained by law are excluded.
  • Right to Data Portability: Where technically feasible, you can request a machine-readable copy of the data you have provided to us.
  • Right to Object or Restrict Processing: You have the right to object to certain types of processing. Since we do not process data for marketing or profiling, this right is largely inapplicable; however, you can still object and we will comply if the request is valid.
  • Right to Withdraw Consent: If you have given consent for any processing, you may withdraw it at any time without affecting the lawfulness of prior processing.
  • Right to Lodge a Complaint: If you are not satisfied with our handling of your data, you have the right to lodge a complaint with a data protection supervisory authority (e.g. in Germany: the Federal Commissioner for Data Protection and Freedom of Information).
